Booking Suggestions

When making a booking from the [Bookings] tab of a client record or from the 'unfilled' row on the [Planner] workbench.  It is possible to get the system to Suggest suitable workers.

The suggestion facility has been available for a long time, but the screen design has been improved from version 1.00.16.209 onward.

At the bottom left of the Booking entry screen there is a [Suggest] button which is used to retrieve the suggestions.

1) How to Use the Suggest Button

Open a Booking Entry screen - either from the 'unfilled' row of the Planner, or from the 'Bookings' page of the client using the blue [Book] button.

Once you have completed the basic details such as the ROLE and the Dates/Times that you wish to book, you can click the [Suggest] button at the bottom left.

The system will return a list of suitable workers, based on the fact that they have a LIVE status (or equivalent) and that they have the specified ROLE as their Current role or as one of their ten SOUGHT ROLES.

It will also check their availability for the required dates.

The returned grid of candidates shows useful information such as their Ranking (Thumbs Up/Down) and Feedback scores, and their distance from the site in the [Miles] column.


Workers who have worked for this client/site before have marker displayed in the [Comp]/[Branch] columns and can be displayed at the top of the list by clicking the relevant heading. Workers can be contacted using the , or icon, and can be selected by placing a tick in the [Select] column at the right hand side of the screen.

[Note: The has worked before / Worker history can be based on whether they have been booked before, or if they have been timesheeted at the client before - this is controlled with PAYROLL,Flag(10) ]



The returned candidate list can also be further filtered using the Radius specified in the top half of the screen.
(This feature is only available if you have purchased the Postcode radius search feature)

If it also possible to restrict the search results to only display relevant workers form a specific Group if it has been defined.

2) Skills search


When using the Booking Entry screen to search for workers, you can search for workers who are suitable for a particular role, and available on the required dates. 

You can also search for workers with specific skills (Attributes).

e.g. You might want to find a Developer, who has skills of Javascript, Python and CSS


To do this from within the Booking Entry screen there are two useful filters/buttons.


Explanation of the icons within the booking Entry screen.


Button / IconDetails
Full attributes filter

 
This will open the normal Attribute Search screen and allow you to choose from any of the skills (attributes) in your system that you wish to find. you can combine these using AND/OR as necessary.
Quick attributes Filter

 
This will open the 'Quick Select' screen for attributes. It will show a list of any attributes that you have created where you have linked/associated the attribute with that specific role. See below.

You can simply tick the required attributes. Candidates will need to have all of the suggested ticked items in order to be suggested.




How to Associate Attributes/Skills with a Role

To help with the selection of TEMPS when making a booking it is now possible to associate certain Attributes (skills) with a ROLE.  This can be done in the following way (provided you have suitable priority level)



Go to Maintenance > Setup > Attribute Maintenance

Once the screen opens, select Booking Role ( ) from the [Associations and Filters] section

You can then use the drop-down to select a ROLE.
Finally, click on any attributes which you wish to be associated with that role for easy selection during booking entry.



NOTE: 
Clicking on an attribute will associate it with the ROLE and will be marked [   ]
Clicking on an attribute twice will associate it with the role and TICK it, meaning that it will be pre-ticked when searching from within Booking Entry. It will be marked with [Tick] 



In the example above, the skills
Breeze Block, Cinder Block, Dry Wall, Plasterboard, Pointing, Red Brick and Stud Work have all been associated with the BRICKLAYER Role. The Red-Brick skill has been setup so that it will be auto ticked when used from within the Booking Entry filters.





3) Curtail booking How to Use the Suggest Button

[Available from v1.00.25.298 or later]

 

When using the [Suggest] button, if you have a very large database, with a large number of 'Live' candidates, all with similar roles, the search button can sometimes take a while to return all the results. In those instances you may wish to consider using the feature to curtail booking suggestions.


When activated, the system will restrict the number of suggested workers to a pre-set number (e.g. 30). This should give plenty of choice for workers to fill the shift, and also speed up the search rather than scan through hundreds (or thousands) of candidates who may not be necessary.

If the feature is activated, the system will show that the suggestions are restricted to a Maximum number.


This means the system does not need to trawl through hundreds (or thousands) of workers, but will stop searching after a specified number of records have been returned. When working in this way, the system will always look at any workers who have been matched & worked at the site previously, before considering other workers.


Independent of this feature, you can also specify which column is used to sort the results (e.g. by 'Ranking' or by 'Miles' )

The curtail suggestions feature is activated and controlled with new parameters, and is not turned on by default.


How to activate the Curtail Suggestions feature

The feature is activated with several new parameters (introduced after v1.00.25.298) as detailed below



NEW PARAMETER(S)

TEMPS Flag 63 = Suggest Button checks matches first

TEMPS Integer 16 = Max results on Suggest

TEMPS Integer 17 = Column for initial sort on Suggest (specify column, or use -ve to sort Z-A rather than A-Z )
